The DFF is no more! Welcome to a new era. Instead of the DFF, you'll fill in the How are You Feeling section of the Activity Log (checking off only one emotion, please) and send in a report each day to your Direct Supervisor and Skye@TabletopTycoon.com.
This email you send should have the subject formatted as "Daily Report - YYY-MM-DD - YOUR NAME"
The times listed in this report should add up! You can bundle things together (ex: Getting Clear & Current can be one task even though Desktop, Inbox, and Follow-Up clearing are sub-tasks)
Notice that "task" and "sub-task" language? That was intentional! Once we're using EasyProjects, this will be baked into our usage, so you will not need to send these emails any longer.
You can delete the "Achievements" section from your Activity Log, since it is no longer relevant! I didn't delete it for you, since some people were very attached to it. If you want to use it, that's fine, but it is not by any means required since you'll be sending in that report. You can also just hide the column if you'd like to preserve the memories.
Feeling risqué? You can even delete the "How Are You Feeling" text at the top of that section so that you can make your header take up less space. Do NOT delete the image, however.
Supervisors: Your report should include what you did and how long it took in addition to a summary of what your direct reports completed. Your report is due the next morning, since you have to wait for your Direct Reports’ emails to complete this, and this will serve as your Team's Daily Report.
Best practice tip: create your personal part of the report at the end of your day as an email draft and add on the other sections as they come in. Do not try to remember all of that the next day.
You should set up an email filter so that your Direct Reports' emails are automatically starred in your Inbox! Poke me on Sococo if you have any questions about how to do this.
We cannot stress the importance of completing this report every day enough. We need to be able to assess workflow in order to make some pretty big decisions by the close of Q4 and start the new year in the right spot. New year, new me. This is something we will require of each person each day until this data is in EasyProjects and doesn't need to be emailed as a result. It should not take longer than 30 minutes each day, at maximum, and it doesn't have to be exorbitantly detailed.
Supervisors: As a Team Lead, it is also your responsibility to look over these and make sure they make sense. I will be looking over them as well, but you should be able to catch red flags (ex: someone who typically spends 1 hour getting Clear & Current spent 8 hours getting Clear & Current, 3 hours are unaccounted for, etc).

Now, you're probably thinking: how do I know how much detail to add? The answer is, enough to adequately explain your day. The purpose is for your Supervisor (and myself) to understand what your day looks like in order to report on project status and things of that nature. For instance, Skye could not have lumped in the Activity Log Updates, Email Creation, & Emailing Out task with "Clear & Current" because it isn't true. Skye could have lumped Division Leads Meeting, Admin Breakout Session, Chats about roles, and Staffing Discussion together as just "Meetings," but she felt that it didn't really explain things well enough so she broke it out. The last thing anyone wants is to create another email by necessitating her Supervisor asking, "what meetings did you have today that you spent 3 hours and 45 minutes talking?" Additionally, having to explain things ad hoc the next day wouldn’t be nearly as effective, since memory starts to wane after a bit.
Let Skye know if you have any questions! We know it will be an adjustment, but we really need better visibility in order to be able to move forward. Waiting the next couple of weeks to get EasyProjects fully in action wastes the first half of our first month of Q4, and that just won't do. Also, doing this will make doing the same thing in EasyProjects feel, well, easier. :)
